QV Offices sadly closes its doors.

5 years ago I was running a growing website development business called Vizioz and we were looking to move from our serviced office to a new office of our own. We searched high and low around Reading and couldn't find a space that suited our requirements. After almost giving up hope, Hicks Baker contacted us to say they had a building in Queen Victoria street that was a "little larger" than we were looking for, but they felt we would like the building.

This is how QV Offices was started, I invested all the spare money I had (and more) into starting QV Offices with a lot of help from my Vizioz colleagues, friends and family. We re-decorated the whole building, ripped out old toilets and kitchens, replacing them with modern facilities. We also replaced all the ceiling tiles, carpet tiles, painted all the walls... the list goes on!

The last 5 years has been an emotional roller-coaster of a ride, with highs and lows. I have employed some great people who I hope will all continue on to prosper in their future careers.

Unfortunately, the owner of our building decided to sell the property to a developer who has told us he will now be converting the building into flats, this seems to be happening throughout the whole of Reading town centre. I personally feel this is a real shame for other small business owners as their only options now are to use one of the large serviced office providers who charge significantly more than we have charged our clients and with cross rail coming into Reading this is only going to increase.

I am pretty sure over the next few years small businesses will be completely forced out of the town centre, which is a shame for Reading as it will be losing it's entrepreneurial heart.

Thank you to all our clients over the last 5 years, we have really enjoyed providing the serviced offices, virtual offices and meeting room facilities to you all.

Best wishes for the future,

Chris

Tips for cycle commuting in Autumn

As the days start to shorten and we reach the time of year in the UK where we potentially commute in the dark in both directions, if you are cycling, now is the time to ensure your lights are working. As I commute both by car and bike from Wokingham in to Reading I to often see people cycling with no lights at all or with just a back light.

In my opinion it's worth investing in both a decent front and back light, how much is your life worth to you? If you are not seen you will be at a much higher risk of having a road accident, with no front light cars can potentially pull out in front of you as they genuinely have not seen you coming, if it's really dark, will you see the pot holes in the road in time? There are quite a lot around the Wokingham / Reading area, so do be careful.

How strong are your lights

Quite often you will see cyclists with an almost invisible rear light, I know you can buy cheap bike lights for a few pounds, but if you are cycling on the roads in the Autumn or Winter time, I would suggest that it's worth investing in something you are sure can been seen at a good distance.

Bike Radar

When you are wizzing along the road with the wind in your ears (or worse, headphones!? don't get me started...) do you always hear cars approaching you from behind? Garmin have recently released what they call Varia Rearview Bike Radar which I have been using for the last few months and in my experience it is excellent. You will need to either have a Garmin Edge bike computer or they sell a small stand alone box that will fix to your handlebars.

When you first buy the bike radar you will need to ensure you upgrade the firmware to the latest version and then pair it with your Edge or the stand alone box. Once setup, as you cycle along you will be alerted both by an audible beep and a visual indication to show you how close the vehicle is and how quickly they are travelling towards you. I have found that it is about 95% accurate at picking up vehicles and the majority of times I am alerted before I can actually hear the car approaching, so I am then more aware to be careful of what might be coming behind me. If you can afford one of these and you cycle a lot, I would recommend the investment.

Cycling with Headphones on?

Cycling with no lights or poor lights is obviously bad at this time of year, but IMHO I think cycling with headphones on, especially the over the ear studio type is extremely dangerous. Your ability to hear a car behind you decreases significantly. If you are also in the no lights club, your chance of becoming another road fatality statistic probably increases dramatically, so next time you get on your bike and would like to listen to your favourite tune, just think to yourself, is it really worth it?

When did you last service your bike?

It can make a world of difference if you regularly service your bike, cleaning the chain and applying a good lubricant will help ensure it lasts well and that you have smooth gear changes. If your gears slip, it might be worth taking your bike to your local friendly bike shop and ask them to give it a proper service where they will adjust your gears, check your breaks etc.

Cycle clothing for wet weather

As we are likely to have more cold wet days it is worth kitting yourself out with some decent waterproof cycle clothing, at this time of year it is also a good idea for the clothing to be of the high viability variety, you won't win any awards for fashion, but you will help to keep yourself safe on the roads. Waterproof clothing has come on a long way and you can now get decent waterproof jackets and trousers that have been specifically designed with the cyclist in mind.

Two other essentials for wet weather cycling are a waterproof cap that you can wear underneath your helmet, a decent pair of gloves to keep your hands warm and dry. Finally don't forget your feet, the majority of cycling shoes have air vents to keep your feet cool in the summer, but come winter you will have soaking wet feet. I would suggest investing in a pair of Goretex lined winter shoes to keep your feet dry and warm.

An alternative to water proof cycling shoes is to get a set of Over Shoes that are waterproof covers to fit over the top of your shoes, I have not personally used these, but I have heard mixed reviews as to how good they are. If like me, your normal cycle shoes have an air vent in the sole of the shoe, overshoes are unlikely to help a lot.

Economic potential: women

The role of women in the world and the economy continues to grow. Research has shown that there are not many differences between men and women. Both sexes have the same aspirations, seek to develop success and maintain their businesses. However, women face restrictions on development, taking on the additional responsibilities of providing care for children and the elderly in the family. Women are a little less confident in the beginning, they need support, someone with experience, a mentor who will support them in action and confirm that what they are doing is right. One third of small and medium-sized businesses in the United States are directed by women. In Europe, more and more women start their own business. This is generally a small business, but small businesses turn into the bigger ones.

Business-mum
Many companies do not create appropriate conditions enabling women (especially having children) to work efficiently. Women face many barriers to the effective reconciliation of work and parental responsibilities and household. Fortunately, the situation is improving. Some large companies are starting to provide nurseries to help with child care. Women who start their own business may have a better opportunity to take care of their maternal responsibilities. Many studies have shown that the presence of women as a manager promotes better management, improves efficiency and rationality of decisions, enabling higher profits.

If women are the world’s economic potential, how can we explain their low participation in big businesses? As young women have children or are likely to have in the future, this raises concerns of employers. Later in life, women are often more competent than men to take on new business challenges, especially leadership. Women approach business in a more balanced, cautious, and empathetic way. They are less focused on excessive risk taking.

Social media as a part of women success
It’s not a secret that women gossip much more than men, they are better in interpersonal relations, more patient, talkative and able to listen (it is very important with regards to customer feedback). In an interview, actress and also businesswoman Jane Seymour said: 'I came to the conclusion that the challenges are an opportunity to make life changes”. Social media offers so many new opportunities and channels to reach customers. When a company uses social media, there are no such dilemmas as - what happens if an item is not what a clients expect? Women are creative and have the courage to develop customer relations using social media.

Part of the team
Statistics show that women are more likely to perceive a conflict of interests within a group. When solving problems women usually ask more questions, wanting to get to the bottom of the issue and they are generally more flexible. All the above features have a positive impact on team work. With a friendly, informal atmosphere, employees are not afraid to spontaneously report their ideas and be creative.

Small business - big opportunities

SMALL business - BIG opportunities!

If you run a one-man business or you are a passionate freelancer your dreams and goals are big. Even if you are acting on your own you can work for large customers, earn a lot and have spectacular success. Your possibilities are endless.
So, what is the best way to present your micro-business and make an impression at the macro level?

Be PROfessional
You don’t always need an office full of employees, You can arrange the details of even large orders by phone, drinking coffee in your living room. Most clients won’t judge you by the size of your business but by what you deliver. Always ensure you maintain a high level of professionalism. Failure to comply with agreements, being late for meetings, failure to meet deadlines and responding late to messages are all mistakes that will make you look unreliable and ultimately effect your chance of further business.

Everyone is online, are you?
Let your website show that you can meet or even exceed the expectation of your customers. Although you might work alone your website is likely to be where your prospective clients will gain their first impression of your business, so make sure it works well and within a few seconds on your home page, your client should understand what your business does. These days people spend more time on their mobiles than they do on a PC, so make sure your website is responsive and works well on a mobile phone, if you have to pinch and stretch your website to be able to read the content it's not a great user experience and your prospective client might give up, so make things easy on them.

Prestigious address
You can still show off a prestigious address even if you don't have the budget for a serviced office by using a virtual office service. You can keep your home address hidden from your clients and even have client meetings using our meeting room. For sure you'll grow in the eyes of your customers.

5 Original small business ideas that became a real success

1.The Legal Grind
High price, tense atmosphere and low availability this is what legal services usually means. One man decided to change it… Jeff Hughes, a young lawyer from the United States founded a very unusual café which in addition to freshly roasted coffee and desserts serves clients legal advice. The Legal Grind can consult in every respect. Every week, cafe opens its doors for the esteemed experts in specific industries.

2.Casttoo
Broken arm or leg is nothing pleasant… and Jessica Smith knew about it. She was wearing a cast for several weeks after her accident and she decided to beautifully decorated her cast so that matched her appearance. This is how it started…company Casttoo has established. After three years, the company supplies colourful tattooed casts to leading orthopaedic surgeries and hospitals.

3.Berlin Divorce
The percentage of marriages ending with divorce in Germany is approx. 57 per cent. No wonder why then such a unusual company was established. Do you want your relationship to be over and you need assistant to do it??? There is no easier way to do it - service provided by Trennungsagentur.de will contact your other half on your behalf!!! Customers who do not have the courage to deliver such a message in person, will benefit from this offer. Founder of the company or one of its trained staff in a tactful way will inform one of the parties about end of relationship.

4.Letters from Santa
Christmas time it’s a very special family time. Every parent wants to make their children feel special. www.santamail.org proves that having a good address is essential. For only $ 10 you can order for your child a letter "from Santa Claus" from the original address: North Pole, Alaska. Since company inception in 2001, the world's children get close to 275,000 letters "from Santa Claus" every year.

5.Rent a Friend
Busy lifestyle, pursuit of money, internet addiction… People forget about social life and physical contact with other people. But don’t worry if you are too busy to find a friend you can rent it. Just simply take advantage of the offer www.RentAFriend.com.

How to do great customer service

The best strategy to build sales in a tough economy is not to lower prices—it’s loyal customers. Smart business owners support strong customer relationships by concentrating on providing exceptional customer service. The most important rule is: treat customers the way you want to be treated.
Here are five ways to strengthen your customer service and keep your business strong:

1. Educate your team
Good customer service is a team effort. One weak link in the chain can have damaging effects. Educate your staff by setting a set of simple rules, such as be courteous or prepared to say “yes” rather than “no.” And remember, always teach by example, treat your staff well, they’ll be more likely to treat your customers well, in turn. No amount of CRM software can compensate for shortcomings in this area. The skills should you be looking for are: empathy, patience and consistency, adaptability, clear communication, work ethic and knowledge.

2. Say “Thank you”
The key to customer is based on two simple words: Thank you. Nothing else sets the tone for your relationship with your clients better. Fundamentally, every time you say “thank you” it sends a message across, “I appreciate your business” and is extremely powerful whether it’s delivered in person or on paper, invoice, e-mail… all opportunities to let your customers know how important they are to you will do it`s magic.

3. Admit mistakes and make them right
Remember - nobody’s perfect. If you make a mistake, acknowledge it, simply apologize and then swiftly correct it. Every opportunity is good to improve your business. Let customers know what actions you took to prevent the mistake from happening again. We all feel more comfortable doing business with someone we see that took the problem seriously after all.

4. Treat your best customers better
It is a commonly known fact, that all customers deserve to receive courtesy and respect, but your long-term and loyal customers deserve treatment that goes above and beyond. Loyalty programs or special offers can help give your best customers something extra. Far from separating new customers, these programs demonstrate that loyalty has its rewards.

5. Seek opinions from your customers
After all nobody knows more about your business than your customers (apart from you and your employees obviously). They can be your harshest critics or your biggest fans. Simply ask them how you’re doing, what they don’t like and what they like about your business. Remember, this isn’t about collecting compliments, negative feedback can be more helpful than you think, though it can be a little uncomfortable. It`s all down to making sure you are fully meeting your customers’ needs and making your customers happy before they come to you with problems.

New Years resolutions for 2016

Happy new year to all our clients both old and new, we hope you all had an enjoyable Christmas and New Years eve celebrations. We thought we would make a few new years resolutions to kick start the new year.

Submit personal tax returns on time

If you have not done so already, you are starting to run out of time to submit your personal tax return so grab your forms or call your accountant and submit your return before the 31st of January deadline.

Tidy desks for tidy minds

Its an old saying, but one that is definitely worth following that if you keep your desk tidy, you will have better focus on your daily work. One thing I have noticed that a lot of people forget is that the desktop of their PC or Mac can also be a distraction. Try to keep the number of icons on your desktop to a minimum.

I have a folder on my desktop called "Tidy Up" and every now and then I drag all other files on my desktop into that folder, that way I know I will always be able to find the files, but they are not distracting me on a daily basis.

Network with more people

As another saying goes "it's not what you know, it's who you know" so our next resolution is to try and do more networking this year, I often hear people say that they don't have time to network, but if you are in a small business, surely the more people who know what you do, the higher likelihood that you will get more business knocking on your door?

That has certainly been the case for QV Offices who last year recorded our highest number of meeting room bookings and the majority are from new clients who have either found us online or heard of us from a friend.

Fire safety procedures put into practice

The majority of our office clients were enjoying the Christmas holidays with their families and were un-aware of events that unfolded on the 30th December 2015. As you can see from the photograph above the Reading Fire Brigade were called out due to the Starbucks fire alarm being triggered.

What had happened?

In the basement below Starbucks where the electrical supply enters the building, card board boxes had been stacked up against the main electrical cables which had over heated and caused the cardboard to catch fire, this in turn melted the electrical cables that then shorted the mains electricity supply and knocked out the power for Starbucks.

QV Offices fire evacuation testing

At QV Offices we follow standard fire safety procedures, these include weekly testing of the fire alarms and twice a year we perform a full evacuation test, our clients are not told exactly when this will happen to ensure it is a true test of everyone's response to the alarm. I am very glad to say that this practice means that all our clients know exactly what to do and where to assemble if the alarm is triggered.

The real evacuation

On the day of the Starbucks fire there were only 5 people in the building due to the holiday period and I am glad to say they all evacuated extremely fast due to their understand of what to do in the event of an alarm, this highlights why it is so important for everyone to treat all alarms as though they are a real fire, because you never know when there may actually be one!

Merry Christmas 2015

Its that time of year again where everyone starts to wind down and prepare themselves to indulge in too much food and wine, those of you who have given us your postal address should have received a real Christmas card in the post, but for everyone else we would like to take this opportunity to wish you all a very merry Christmas and a happy and prosperous new year.

At QV Offices we are working hard to bring you new features to our website in 2016 which will help make using QV Offices and even greater experience in the new year.

Online Meeting Room Booking

Our meeting room has been growing in popularity this year and hence we have built an intuitive new online booking system that will allow you to book meetings 24/7 on your mobile, tablet or computer, so at the weekend when you suddenly realise you didn't book a room for your meeting on Monday, you can check we have availability and book within minutes. Our regular clients can pay via direct debit and PayPal will be available for all one off meeting room bookings.

Helping to reduce your admin time

We try and provide the most efficient serviced office space we can in the heart of Reading, as with most serviced offices our clients pay a monthly invoice in advance, however the larger competitors all bill via a variable direct debit which keeps the administration time to a bare minimum for both the provider and the client. We introduced Direct Debit as the means of payment for our Virtual Office clients in the summer of 2015 and are now preparing to launch Direct Debit payments for all our internal serviced office and permanent desk clients.

Let us know how we can add value for you?

We are always looking for ways we can improve the services offered to our clients, if you have any ideas of things we can add to our online platform or in the physical office space, please do let us know.

Best wishes for the Christmas period,

The Demand for Flexible Co-Working Space Is Expected to Soar

SMEs have new priorities when it comes to choosing a property for their business. Finding the perfect workspace used to be all about location, being in a prime spot that is both commutable and convenient. These days however, more small businesses are opting for a workspace that offers greater flexibility and new opportunities.

A survey by the UK's leading solicitors network, Quality Solicitors, found that the demand for flexible co-working space is set to escalate. The survey which involved 250 SME decision makers across the UK demonstrates new trends in workspace requirements. Of those questioned, a majority of 71% predict flexible and shared workspaces to be a top priority for small businesses in the near future. More than two fifths (42%) consider flexible and adaptable working environments, that allow businesses to grow, as being more important than the location of the premises. SMEs also recognise the importance of networking opportunities, with 39% declaring that they want an office space that gives them the advantage of networking with other businesspersons. The study also found that nearly one fifth of those questioned (18%) feel that it's important to work in an environment where they can interact and collaborate with other businesses.

Since income can be very unpredictable, SMEs are calling to put an end to long-term tie ins. 54% of respondents want flexible, short-term leases, and 53% say they are even willing to demand a break clause to prevent themselves from being tied into long-term contracts. As flexibility is of utmost importance to small businesses, it's important for commercial landlords to consider their needs.

The commercial property conveyancing expert at Quality Soliticors, Michael Sandys, states “It’s clear from this research that the traditional, one size-fits-all approach to commercial property conveyancing is no longer valid. SMEs now want a different kind of workspace, which offers flexible space and networking opportunities to boost efficiencies and maximise the space. They don’t want to be tied down, so we’re seeing more and more businesses demanding shorter, less restrictive leases to give them the freedom to move around if they need to.”

Here at QV Offices we believe that small businesses should have room to grow, which is why we offer SMEs the most flexible workspace solutions to suit all of their requirements.

How to Create the Perfect Logo for Your Small Business

Your logo is the face of your business; it represents your brand on all mediums, from your business cards to your website. It is an imperative part of your marketing as it is constantly visible to your target audience. Henceforth, a well researched and thoughtfully designed logo can set you apart from your competitors. So, if you're in the process of creating a logo or fancy tweaking your current one, here are some tips to help you get it right.

Brainstorm

Your logo should define your brand, therefore before the designing process you should make notes of what you want your business to represent. Using your brand values and mission statement think of images and words that relate to your business.

Research

Do your research! Get inspiration from companies that have successful logos, such as Apple and Nike, and makes notes on all the features you like about the logos. The more you analyse, the better! Undertake competitor research to see how your competitors are representing their brands. By doing this you will be able to identify how to make your logo stand out from the crowd. Your logo needs to sell, so customer research is a must!

Budget

You really can design a logo on a shoestring budget, particularly if you've got one or two skills in Adobe Photoshop, Illustrator or In Design. A DIY logo will save you money and it will give you the chance to design it exactly how you want it. However, it's never a bad idea to use a professional designer. That way you will save time and ensure that your logo is of the best standard.

Style

You have probably already got an idea of how your logo should look, but before you produce a work of art we have one tip for you, keep it simple! A growing number of organisations are simplifying their logos, brands including Spotify, Airbnb and Twitter. All of which have trimmed, tweaked and airbrushed their logos to create a clear design. Nowadays less is more, and the simpler the design, the more stylish it looks to the viewer.`

Colour

When considering the colour of your logo be strategic! Colours have psychological meanings, they can provoke different emotions, which is why you need to be smart about the colours you choose for your brand. In nature colour is an important method of communication, and so we have different emotional associations for every colour. Many social media companies use blue to convey trust, stability and cleverness. Fast food chains commonly use colours of red, orange and yellow as they have connotations of hunger, happiness and freshness.

Font

Similar to colour, the font you choose in your design will also make a difference to the message you convey to your customers. If you choose to use typography, you'll want the font type to suit your business. This is where your research will come in handy!

The Best Places in Reading for Your Morning Pick Me Up

Here at QV Offices we are passionate about our coffee, from cappuccinos to espressos, and macchiatos to mochas. We love them all! So, to celebrate International Coffee Day we've picked our favourite coffee shops in Reading town centre.

Tamp Culture Coffee

This authentic cart of joy has been voted by the public as Reading's best coffee shop. Tamp offers a truly unique experience, with its exceptional coffee, trendy layout and passionate staff. Their beans are carefully selected and are roasted in-house, in small batches to get the very best flavoured blend. There is nothing tastier than a freshly brewed Tamp coffee. Try it for yourself!
Must have: flat white
Location: 3 Gun St

Nibsy's

We have to admit, this independent gluten-free coffee shop is our guilty pleasure! On arrival, you will notice how pretty and pink the place is, but blokes don't let this put you off! It's our favourite place in Reading for coffee and cake. Their coffee beans are locally roasted in Winchester by a speciality micro roaster. The coffee is a medium, sweet and aromatic blend. To accompany your coffee you just have to try their scrumptious gluten-free bakes!
Must have: cappuccino
Location: 26 Cross Street

My Kitchen

Just two doors down is a fantastic independent coffee shop that sources all of its produce locally. The coffee is a medium blend with a rich after-taste of cocoa. At My Kitchen you really feel a sense of community. You will always be greeted by friendly and welcoming staff that are keen to give you a superb experience. This cafè also supplies the best panini in Reading town centre, so if you've forgot to bring lunch, you know where to go.
Must have: cafè latte
Location: 29 Queen Victoria Street

Manhattan Coffee Club

If you want nothing more than a delicious filter coffee we recommend going to Manhattan Coffee Club. It might surprise you that this coffee house is independent, given its modern décor and established branding, which makes it feel more like a fashionable chain. Manhattan Coffee Club is all about making high quality, ethical coffee, whilst supporting farming communities.
Must have: filter coffee
Location: U6 Upper Level, The Oracle

Things Are Looking up for Small Business Owners

Optimism is in the air for small business owners, according to research by American Express and AXA PPP Healthcare. The American Express Small Business Barometer reported that out of the 500 small businesses surveyed in the UK, a whopping 88% of which recorded growth over the past 12 months, doubling last year's figures of 43%. The number of small firms to report significant growth this year has increased to 49%, up from 13% last year. The owners in question are confident that business growth will continue. Some are even hoping to boost turnover by an average of 24% by next year.

But it's not just growth that small business owners are cheerful about. Research by AXA PPP Healthcare suggests that some SME owners are happy with the lifestyle that comes with owning a business. Many showed satisfaction over being in control of their own working life, with 70% saying they feel proud, inspired, content and fortunate. Some owners also said they have greater flexibility (58%) and more freedom (37%).

A proportion (44%) believe that now is a better time than any to start a business, and we couldn't agree more! Are you looking to fulfil your entrepreneurial aspirations and start-up your own business? Here are 3 reasons why now is the best time to do it.

Advanced technology

Nowadays, technology is at the very heart of a successful business plan. Every company needs a user-friendly website, uses email to contact clients and business partners, and does a lot of marketing online to build a brand image. Now you can even get software to do a lot of the handwork for you, such as accounting, customer relationship management and social media management.

A change in the working landscape

These days it's not unusual to work from home. Many start-ups opt for the more affordable choice of having a registered business address to use on their websites, marketing and business cards. This gives start-ups the opportunity to make their business look bigger and boost their reputation.

Funding

There are dozens of options available to help you fund your start-up, from bank loans to grants, and investors to crowd funding.

So, what are you waiting for?

Poor Professional Consultation Has Cost Small Businesses £6.4 Billion

New research by Direct Line for Business has revealed that 320,000 companies have been ill-advised, and as a result have lost money. Around 16% of small and micro businesses in the UK have lost an average of £20,842 over the last 12 months. One fifth of those effected believe that poor guidance cost them from £50,000 to £100,000 within the same period. If trusting in third parties wasn't hard enough, small businesses will be even less inclined to seek professional assistance following this research.

Poor professional advice has not only lost small businesses money, it has put some in a vulnerable position. Around 46% of which felt forced to lay off staff, 39% delayed their plans for business expansion, and 34% felt obliged to take out a loan. Some (16%) even felt that poor guidance had even cost them clients. The advisory sectors that effected businesses ranged from management advice to communications consultancy.

Being a victim of bad advice is never easy, and when poor consultation results in financial loss, then it can become a grave affair. So here's what you can do to prevent your business from falling victim to inappropriate guidance.

Do your research

Choose a consultant that is appropriate for your business, one that is within your budget, but has a proven record of helping small businesses. Look into their education and experience, and ask to see their portfolio. By doing research you can be confident that you are choosing the right person for the job.

Ask yourself, do you really need consultation?

There will be times when you really will need professional guidance, but on some occasions, your business could be doing just fine without it. Assess your goals and current situation; if you're not hitting your targets and deadlines then it might be worth seeking professional advice.

Monitor and measure their practices

By recording the company's progression you will be able to determine whether or not your adviser is doing a good job. You will be able to diagnose any consultancy issues sooner, which will prevent a loss of money in the future.

6 Accounting Tips for Small Business Owners

It's important for businesses of all sizes to keep their records accurate and up to date, this includes everything from expenses to sales. Whether you're managing your own books or employ someone who does it for you, as a business owner you need to be aware of exactly what goes on in your business account. Should the IRS wish to see your records, you will be held responsible for making sure they are accurate.

Managing your own books can be time consuming business, but if done right could save you time in the long-haul. So, here are some tips to help you boss bookkeeping.

Find software that works for you

Accounting software can be a great way of helping you keep on top of your books. They are designed to make running a business easier, therefore no accounting knowledge is needed. If you decide to opt for modern accounting software, it's worth searching for one that suits you and your business. For small business owners, we recommend something that is simple to use and time-effective, such as KashFlow, FreeAgent or Sage One Accounts. Test the software by signing up for free trials, this will help you find the most suitable option for your business.

Keep on top of tax

With there being so many complex tax rules to keep track of, it's good to know exactly when you are expected to file or pay them. If you are new to finance you probably don't know which taxes your company is obligated to pay. Common taxes for small businesses include VAT, Corporation tax, Self-assessment income tax, PAYE and Income tax rates. You must also present your financial records in the Annual accounts.

Know your deadline dates

Avoid unnecessary charges by knowing exactly when you need to pay your bills, file tax returns and pay taxes. Make a list of all the taxes and bills you need to pay and the due dates. You can schedule reminders on project management apps such as Trello or Basecamp, which will notify you before the deadline. You can also keep track of your bills and taxes on your accounting software.

Record everything

When we say everything, we mean everything. Remember to keep all of your receipts, from large purchases to small expense payments. By recording all of your expenses you will decrease your company profits and pay less tax on them.

Attend free workshops

HMRC orchestrate free workshops to help people understand finance. These classes range from introductions on VAT to discussions on self-employment. These workshops are worth attending and can provide you with the knowledge you need to grow your business.

Hire an accountant

An accountant could be a valuable asset to your company, with knowledge and expertise in finance, tax, money management, business and budgets. Hiring an accountant could take some of the responsibilities of taxes, payroll and bookkeeping off your hands. Some even offer consultancy services to lead businesses in the right direction and assist with decision making. They can also save you both time and money. So, is it time you called in the professionals?

Having a good work-life balance is important for maintaining a healthy lifestyle. You might be tempted to work late and finish off a few tasks before heading home but try not to get caught in the net! Working late can become a routine that's hard to get out of. Instead plan your evenings ahead so that you've got something to look forward to come 5 o'clock. If you're based in Reading town centre there are plenty of things you can do to get the very most out of your evenings.

Hit the gym

It can be a huge challenge to motivate yourself to exercise after work, particularly if you've gone home and cosied up on the sofa. Instead you will probably find yourself flicking through Netflix with a bag of crisps. How do people get motivated? They go straight after work! Exercise is an excellent way to relieve stress and boost your mood. By exercising straight after work you can have a relaxing, guilt-free evening. Sounds good eh?

Where to go: our Purple Partner Advance Gym is a local favourite that offers our customers exclusive discount. The gym has great facilities and hosts more than 100 classes a week. It's located just around the corner from our offices so there is no excuse not to join!

Happy hour

Who doesn't love a discount? Going for drinks with colleagues after work is not only a great way to relax but can be an excellent team building exercise. Get to know your fellow workmates in a casual environment and improve your relationships in the office.

Where to go: being in Reading we're a little bit spoilt for choice with bars and pubs on our doorstep. If you're looking for happy hour discount the town is your oyster! There are dozens of places that offer cheap drinks during quiet weekday evenings. Some places even have discounts on food. These offers are just waiting to be taken advantage of!

Become a member

Make time for your hobbies by joining a club. It doesn't matter whether you're a photography lover or a music enthusiast, there is a club out there for everyone! The benefits are endless, you can get to know people who share the same interests as you and grow your friendship group. You will be invited to club socials and you might even receive membership discounts. For a small cost you can learn new skills in something you are passionate about.

Where to find them: you can find clubs pretty much anywhere, just search on your web browser. There is even a website dedicated to meet up groups.

Grow your network

OK, maybe networking won't be the most exciting use of your time but it offers more advantages than you'd imagine. You can increase brand awareness in a relaxed setting, just remember to pack your business cards. Start making connections and building relationships with other like-minded businesspeople and you might even create new business opportunities come the following morning. This probably all sounds a bit tiresome and work-related, but don't worry! Usually there are free drinks and nibbles, and on some occasions there will even be a guest speaker. See, learn something new everyday!

Which to attend: it completely depends on the size of your business and what you specialise in. For a friendly, fun and free evening of networking we recommend attending a Business Biscotti event.

Promoting Reading with RDG

If your workplace is based in the centre of Reading you've probably noticed something rather bold in town. Three huge letters RDG have been plonked in popular locations all around the town centre, drawing in curious members of the public.

What's it all about?

Reading UK CIC has launched the RDG project with the aim to promote Reading town. Members of the public are given the opportunity to scribble on the letters and share what they love most about Reading and why. RDG and RDGUK are popular hashtags used for Reading on Twitter. The promoters are encouraging people to use the hashtags when tweeting to show the nation what Reading has to offer. Members of the public can have photographs taken with the letters with family and friends. The project is creating a real sense of community in Reading and hundreds of shoppers are joining in. There is even a competition to win £250 in vouchers for the Oracle.

Where should you expect to see it?

On Monday the RDG project surprised commuters at Reading Railway Station and on Tuesday the giant letters were positioned on the hustling Broad Street. Today RDG will appear in the Oracle Riverside and by Thursday it will have relocated to Forbury Gardens.

It's not too late to join in! Get involved by tweeting with the hashtags #rdg and #rdguk!

Home businesses risk losing £658 million this summer

For many home business owners in the UK the peaceful working-from-home lifestyle has already been disrupted. Things have become a little noisier since the school bells chimed the start of the summer holidays.

According to recent research by Direct Line for Business, out of the 844,000 home business owners with dependent children, 60% will take time away from their businesses to spend entertaining their children. The holidays will cost home businesses more than £658 million over the six-week period. Home businesses based in the South East will be most affected and are set to lose over £118 million. Homeworkers will spend an average of four hours a day or 20 hours a week of working time with their children, instead of focusing on their business.

If you're a homeworker worry not! There are plenty of things you can do to decrease your chances of losing business this summer. If you're concerned about your losses, here are some simple solutions that could help you keep your business on track.

Home office

The trick is to keep work and leisure time separate and a good way of doing this is with a home office. If you haven't already built a home office, now is the time to do so! Try to spend your usual working hours inside your office space to ensure that you stay motivated, productive and business orientated during these hours. Take regular breaks and spend them with your children, just remember to time them appropriately! It's only natural that you will want to enjoy having fun with the children now they're off school but don't let your business suffer, there's always plenty of time after work!

Flexible workspace

If you're finding working from home too distracting it could be worth investing in a workspace. With a flexible desk you could spend your working hours in a professional office environment, at an affordable price. A flexible desk is a great solution for small business owners; you can have your desk as and when you need it, and there are no long-term contracts.

Virtual office

If you're simply looking to spend less time in work and more time with the kids this summer, a virtual office could be exactly what you need. Choose to have telephone answering services and you can be confident that all of your calls are being taken by a professional receptionist team. Save time this summer with a virtual office package and you will have the power to answer to who you want, when you want.

Office Rental Costs Are Driving Start-Ups out of London

Rising office rental prices are pushing start-ups out of London and we're not surprised! It's no secret that London is an expensive city to live and work; new research reveals that it is now the third highest priced city to live in the world. But what effects is this having on office rental costs? The fierce marketplace has caused an acceleration in the price of office rent, particularly in popular destinations such as Shoreditch. So perhaps London is no longer the city of dreams for start-ups.

Since the late 1990s Shoreditch has developed a community of high-tech companies, giving it the name Tech City. The area has become a thriving digital ecosystem that boasts dozens of successful technology organisations. However, ironically it is the technology start-ups that are feeling the most pressure of expensive office rental costs in the area. The lack of affordable office prices is likely to drive start-ups out of the area.

According to Hubble, a company that specialises in the office rental market, 66% of start-ups are now considering moving out of the technology hub in Shoreditch. The rise in office rent makes it difficult for technology start-ups to stay in London. 62% of those asked said that costs of office rent would restrain business growth after a year. Research suggests that even though start-ups are considering moving out of London in their early years, they are likely to move back to the city after seeing business growth. This is good news for the most devoted London enthusiasts! But in the meantime start-ups simply cannot afford the unrealistic cost of rent and feel that by moving out of the city they will have a better chance of early growth.

London might not be the wisest option for start-up businesses who have a small budget, but areas outside of London can offer just as many benefits! Reading has become a considerable choice for start-ups, with excellent direct transport links to the UK's largest cities and a growing business ecosystem. With London being on the doorstep, which takes less than a half an hour commute, many people are choosing to relocate to Reading. The area offers much cheaper office rent that is within a small business owner's budget. Reading is also a great area for like-minded businesspeople to form connections and create business opportunities.

Many start-ups are opting for a virtual office package that provides small businesses with a professional business address, without the cost of the physical office space. For start-ups that are on a small budget, we highly recommend investing in a virtual office package since they offer a number of benefits for small business owners. The services are not just affordable but can save start-ups heaps of time! With a virtual office you can build trust with your customers by showing that you're a legitimate company with a professional office address.

Here at QV Offices we strive to support small businesses, offering the best quality services at an affordable rate. We understand small business owners' needs and take pleasure in helping small businesses grow.

Communication Tips That Will Win You Sales

Never underestimate the value of communication. Having the ability to communicate effectively is vital for every businessperson, whether you need to present your ideas to a colleague or superior, conduct an interview or pitch a sale. Communication is an intrinsic part of business that is unescapable. How you communicate with a customer could make or break a sale. So if you want to be a better communicator here’s what you can do.

Confidence

To be an excellent communicator you will need to show confidence. Even if you’re not naturally brimming with confidence it’s important that your customers get the impression that you are! Confidence and sales come hand in hand, particularly when you’re verbally communicating to a customer. To achieve more sales you need to know exactly what you’re talking about and show that you’re confident in the services that you’re selling. When delivering information speak assertively and with sureness, do this and your customers will believe anything you tell them! Consider your body language; apply a relaxed posture whilst sitting or standing up straight and remember to make eye contact. An excellent tip to combat nervousness is to stand in a ‘power pose’ for two minutes before meeting with the person.

Preparation

You need to be able to understand what you’re presenting; if you can’t make sense of it your clients won’t be able to either! So know your stuff; if you have done your homework and you have prepared what you're going to discuss, you will be able to communicate more naturally on the day of your meeting. Before pitching a sale it’s always a good idea to research your customer beforehand, since it gives you the opportunity to personalise your pitch. The more personal you make it the more you will engage your customer. Preparation is a great way to make you feel more confident about what you’re presenting, and it will make your life a whole lot easier on the day!

Be clear and concise

Communicate with clarity and your sales pitch will be much more effective. By presenting your ideas clearly you will communicate with professionalism and you will also appear more experienced, which will win you one or two bonus points! You will achieve a far greater result if you communicate with simplicity, rather than speaking in a complicated manner. Be succinct by shortening what you need to say into a simple and digestible nugget of information; you don’t want to bore your customers, you want to engross them! If you need time to think, take time! Avoid mumbling words that could make you sound nervous and unprepared, such as ‘uh’, ‘um’, ‘like’ and ‘hmm’.

Listen

Good communicators know that it’s not always about making a point, it’s about listening attentively to other peoples’ ideas. If you are a fantastic listener you will have a better understanding of your clients, which will give you the opportunity to tailor your sales pitch with your customers in mind. By listening you will show your clients that you are driven by customer satisfaction, and this will guarantee to win you more sales.

7 Ingredients for Freelance Success

Many individuals are attracted to the freelancing lifestyle; the flexibility to work as, where and when you please and the notion of being your own boss. However, freelancing is not a piece of cake. Being a successful outworker involves determination, hard work and patience. Without the right resources and skills it can take a lot longer to become prosperous, so here’s what you need to get started.

A website

It is essential for business owners to have an online presence and the way in which you present your company can separate you from your competitors. Having your own professionally designed website is a great way to kick-start your career as a freelancer since it gives you the opportunity to advertise your services to a larger market, create a brand and flaunt your skills and experience in the industry. It can also give your clients the impression that you’re a successful and reliable freelancer which might encourage customers to purchase your services.

A suitable workspace

The appeal of working flexible hours rather than being tied down in a 9 to 5 office job might have drawn you into freelancing but you will need to set boundaries as to where and when you work. Create a clear distinction between work and leisure space; avoid using your office for anything other than work related duties and try not to bring your work into a domestic setting. An adequate workplace is of utmost importance to your progression as a service provider. Invest in a flexible desk or office space to increase your motivation and productivity levels.

Time management skills

Having excellent time management skills is essential for freelancers. The ability to use your time productively will mean that you will get the very most out of your working hours. By setting realistic targets and most importantly, sticking to your deadlines, your customers will highly regard you as a reliable and ambitious freelancer.

A good reputation

A good reputation doesn’t come easy; it’s something that you have to earn over time. With a strong status in your chosen industry you will likely receive a number of job opportunities through word of mouth. Ask your customers for feedback, the positive comments you can publicise on your website and social media platforms, and the criticisms you can adapt upon to improve your business.

Well managed finances

Freelancing is not a matter of instant success, particularly in the early years. Some entrepreneurs spend a lot of time and money trying to get noticed, which is why it’s important to have appropriate savings for the gloomiest of days. Learn how to manage your finances and attend courses. Online banking software can be very useful but it’s definitely worth investing in a good accountant to take some of the stresses of money management away.

A growing list of connections

To grow as an entrepreneur you will need to build relationships with potential customers and other like-minded businesspeople. Networking events are a great way to make connections and promote your products, so attend relevant and local events, you never know who you’re going to meet! Expand your audience using social media. Create a suitable brand strategy, post content that is up to date and relevant and engage with your audience. Your aim is to increase your following whilst building a highly regarded brand.

A convenient location

As a service provider you will have the freedom to work from anywhere you please, whether for you that means from your city home or on a sandy coast in the Bahamas. Nonetheless if you do decide to vacate, you should choose a realistic destination. Working in a central location will bring you the most benefits as a freelancer since you will be closer to your clients.

How to Be a Social Media Savvy Business Owner

Don’t underestimate the power of social media, in today’s society it really does matter and not just for individuals but for businesses too. Company owners are being told to get on board and utilize social media platforms to their full potential. These sites offer small business owners the opportunity to reach a larger audience on a global scale, form relationships with customers, and build a trustworthy and reputable brand image without leaving the office. Most importantly social media has changed the way business owners can communicate with potential customers; people can now give feedback which can effectively help a company develop. If you are a small business owner it’s vital that you have a social media plan, so before you get cracking here are some top tips that will help you create an online presence that will benefit your business.

Always consider your audience

As a starting point think about who you want to target; for an effective social media strategy you must understand your audience. Choose platforms that are widely used and of interest to your target audience. Even though Facebook, Twitter and Google+ are commonly used by businesses, they may not be the most suitable options for your company, so be selective! For instance, Instagram and Pinterest could benefit a graphic design agency, whereas an accountancy firm might do better with a Google+ and LinkedIn profile. If you’re comfortable using some platforms more than others then use them! But don’t be afraid to step outside your comfort zone.

Work on your brand image

Next you need to develop a tone in order to create a successful brand image. By determining a specific tone you will create guidelines and restrictions as to what information you can post. The style in which you write your updates will also be limited and this will keep your brand image consistent and professional. Your tone should appeal to your customers whilst being relevant to your business. For instance it could be fun and entertaining or interesting and professional. Just be sure to provide your target audience with content that they can’t get enough of.

Be interactive

Build trust with your clients and develop a good reputation for your business by engaging with your audience. It’s important to humanise your social media site and this can be achieved by simple interactions. Engagement with your audience will help you build relationships, grow your following and potentially increase your sales.

Think about what your audience wants to hear

Every good social media business page concentrates on the audiences’ interests over products and services, and so should yours! Ever heard of the 5-3-2 rule? In a nutshell the 5-3-2 rule is a content system which your social media schedule should follow; 5 statuses of relevant information that is of interest to your audience, 3 posts of your own relevant content and 2 that are personal. The idea of this is if you develop a likeable social media presence then sales will follow.

6 Tips on Giving Effective Constructive Criticism

Constructive criticism can play an integral role in business; done well it can improve the workplace or one’s work habits. However, constructive criticism can be a daunting challenge to carry out and can be even more difficult for the person receiving it. Nevertheless, if you believe that something can be made better, don’t hold back! Just be sure that the criticism you deliver is both positive and productive.

Compliments

Start with a compliment, even if you really don’t want to. The receiver will be more inclined to listen to what you have to say if you open with something positive. It could be as simple as ‘it’s good, but…’ however, if you really want to improve something, it’s a good idea to make a few points on what you think the individual has done well, before sharing your ideas on how it can be made better. You’ve started with a compliment, now end it will a compliment, this will encourage the individual to feel more inspired about the job and be more eager to take your ideas on board! Something on the lines of ‘keep up the good work’ can boost one’s confidence and motivation.

Emphasise what’s good over what’s bad

Try not to focus on the bad, even if you strongly believe that someone is doing something ‘the wrong way’. Instead kindly offer methods of improvement, when doing this it’s important not to force your opinions on someone, you should be simply sharing ideas that you believe will benefit the company or individual.

Be professional

There is a time and place to give constructive criticism and this depends on your circumstance. Avoid giving constructive criticism at an inappropriate time such as during large meetings, when the office is busiest or in front of a client. There are a few rules that should never be broken: don’t make it personal, condescend or patronise the individual and most importantly don’t embarrass them. Constructive criticism should be between you and the receiver (the individual who will benefit from hearing it) so there’s no need to get anyone else involved. When giving constructive criticism you should be calm, open minded and fair.

Consider the receiver

When giving constructive criticism apply the Golden Rule - ‘Do unto others as you would have them do unto you’. In other words be nice about it! Be sensitive and empathetic when giving constructive criticism to avoid injuring someone’s pride. The last thing you want to do is create tension in the workplace that would be counterproductive!

Listen

You should also listen to what the receiver has to say; give them the chance to explain their thoughts because there’s probably some logic to them. Most of the time constructive criticism can be beneficial, particularly when a person noticeably needs guidance. However, on other occasions a person might have a reason for doing something differently and in such cases you should listen, be open minded and encouraging, you can offer your advice afterwards.

Feedback

In every situation feedback is essential, whether the person has taken your ideas on board or not, it’s good to follow up with appropriate feedback. Again this should be optimistic and constructive. If you’ve noticed any developments in a person’s work tell them, they will feel gratified and reassured that they’re doing well.

Tips to Help You Get Organised at Work

Being highly organised is essential in all job roles, particularly if you’re working as part of a small business. If you’re an organised individual, the chances are that you will be focused, keep on top of your workload, meet deadlines and use your time productively. If you’re unorganised on the other hand, it could affect your work, motivation and result in a loss of time. So, if you’re struggling to meet deadlines in work then now is the time to get organised! Here are some useful tips to help you get started…

Declutter your desk space

It’s never too late to have a ‘spring clean’, in fact a summer sort out might be the best thing you do this month! Remove any unnecessary items that you don’t use and store away neatly in a draw. When it comes to personal clutter ask yourself if it is likely to distract you, if the answer is no it can stay, if not you will be more productive without it! Ensure that you have all of the essentials in your desk draw, for example a notebook, pen, highlighter, cork board, sticky notes and anything else that you frequently use.

Make lists and set deadlines

By making lists of schedules you will be able to determine which tasks are most time sensitive and therefore prioritise your workload accordingly. Lists are an excellent way to break down your assignments by providing you with a visual layout that displays all of your uncompleted tasks. Separate your daily, weekly, monthly and quarterly jobs so that you can keep track on your deadlines.

Colour coordinate

Ever heard of the phrase ‘it’s the little things that make a big difference’? Well colour coordinating is the little thing that will really make a difference to the management of your workload. Colour coordinating your lists and files might seem a little trivial however, when it comes to being organised in work it is a necessity! Use coloured pens to separate your assignments and documents and always highlight any important information.

Set reminders

Set reminders, whether on a website, app or the more traditional way – sticky notes! This will encourage you to meet your deadlines and avoid a build-up of work. Useful project management websites include: Basecamp, Trello and Wunderlist, such websites notify you with several reminders when your deadline is due and allows you to tick them off once they have been completed.

Set realistic targets

Avoid making impractical targets by breaking down your jobs into bite size pieces; this useful trick will simplify your tasks and therefore encourage you to get started. Put the task as the heading and write underneath the smaller jobs that it includes, by ticking one off at a time you will feel like you’re getting more done and will be more motivated to move quickly onto the next assignment.

Filing

File away any important documents in relevant files and keep the files in either alphabetical order or sort by date. This allows you to easily access the information when you need to use it.
